We are hiring a part-time Program Associate. This position will begin at 25 hours per week and has the potential to grow into a full-time position. 

Job Summary

The Program Associate provides primary administrative support for competitive grantmaking and scholarship programs overseen by the Vice President of Coastal Community Foundation. Specific programs that the position supports may change yearly, as opportunities arise. Serves as the external point-person for assigned programs, and may be assigned ad hoc lead responsibility internally as necessary. This position requires the ability and willingness to be flexible and adaptive, a keen listener, and desire for continuous improvement.

Job Responsibilities

Gather applications, review for eligibility, and prepare materials for the Grants Committees in order to ensure good decision-making.

Attend meetings of Grants Committees and Advisory Boards, take minutes, prepare them for distribution, and produce a draft copy 7 days after meeting date.

Maintain listings of related Grants Committees and Advisory Boards.

Share nonprofit information maintenance in customer relationship management software (currently, in Raiser’s Edge) with Donor Services Associate, and enter and maintain grant request entries (currently, in GrantedGE) for assigned programs and others, as directed.

Schedule and participate in site visits to applicants, as needed.

Generate and transmit correspondence to applicants (including decline, conditional and funding letters and Terms of Grant for grantees).

Maintain files of funded and non-funded applicants for assigned programs and others, as requested.

Send requests for Progress Reports or End-of-Grant Reports to funded applicants, summarize reports as needed, and maintain files of replies.

Communicate, coordinate, and work with the Finance Office for timely (at least weekly) generation of grant checks and coordinate record keeping. Follow the strict procedure and schedule for timely generation and delivery of grant checks.

Provide primary administrative support for the Vice President of Grantmaking & Community Leadership, including preparation of reports for WCF’s Board and other Committees.

Compose minutes of meetings of the Grants Committee.

Provide software-generated reports and analysis of grantmaking and general charitable activity in the service area, as requested, and generate grantmaking reports for in-house publications/presentations.

Assist donors, Board members, grantees, Professional Advisors, and the general public in a courteous, helpful, and respectful manner.

Support WCF’s practice of encouraging diversity, equity, and inclusiveness.

Assume responsibility for special projects, as requested by the Vice President of Grantmaking and Community Leadership.
